How to set-up the Checkin settings to add efficiency to your event's checkin process

Creating an Action Category, Action and Status Value

When logged-in to Events, click on the Checkin button (green tick) next to the Event Title

Click Settings in the Admin access section

If you wish to create action categories [optional] such as pre-registration, registration, resources, information, etc, see instructions immediately below, otherwise skip to step #4.

    1. click Action Categories
    2. Click Add
    3. Complete the Category Name field (optional), and Order field (items with the same order are sorted alphabetically; 0=first, 1=second, and so on), click Create
    4. Complete a. to c. above to add more action categories if required
    5. Click the Checkin home button; or use the back button on your browser to navigate back to Settings

Set-up Action values

    1. Click Action & Status Values

    2. Click Add

    3. Complete the Action Name field and Order field (0=first, 1=second, and so on), click Create
    4. Complete the Action details (e.g. add to a Category); then click Save
    5. Repeat a. to d. above to create more Action names as required
    6. Click Back to List to return to the Actions list; or click the Checkin home button

Set-up Status values

    1. Click Action & Status Values
    2. Click the Action value link (e.g. Nametag) that you wish to add a status to
    3. Click Add Status, below the Action settings
    4. Complete the Status Name field and Order field, click Create

      Examples of status: for resources - collected, declined, donated, deposit; for Car/Shuttle Queues - domestic, domestic(2), international; for airport transfer tickets - paid, not paid!; for notes - replacement delegate; for tshirt sizes - tshirt small, tshirt medium, tshirt large, singlet small, singlet medium, singlet large; for registration - completed, under-age to be accompanied, early checkout.
    5. Repeat b. to c. above to create more Status names as required
    6. Click Back to List to return to the Actions list; or click the Checkin home button

Tip - red flag indicated when Action status value starts with "!"

A "red flag" is indicated if the Action status value starts with "!".

It shows with bold red emphasis on the Status tab

Red Flags

  • Red flags are any action status values ENDING in an exclamation mark (like this!)
  • The alert icon will show if the attendee has one or more red flag action status values. 
  • The action/status doesn’t have to be visible on the page for it to affect the red flag visibility
  • The icon visibility gets updated whenever the user changes an action status (including by selecting multiple attendees at once, without a page reload)
  • Red flags are visible on the Find Person and CheckLists screens
  • To View all red flags for an attendee, Tap the attendee's name, review the Status tab.
